About This Notice

3R Plumbing & Mechanical LLC (“3R,” “we,” “us”) respects the privacy of everyone who applies for a job with us. This notice explains what information we collect when you apply through our Careers page, a job board, or by contacting us directly — and what we do with it.

Information We Collect

Information you give us

  • Name, mailing address, email address, and phone number
  • Resume, cover letter, and work history
  • Licenses and certifications (for example, Massachusetts plumbing or gas license numbers, EPA 608, OSHA cards, refrigerant certifications)
  • Driver’s license number, driving record information, and vehicle insurance status for positions that require operating a company vehicle
  • Education and training history
  • Professional references and their contact information
  • Compensation expectations and availability
  • Veteran status, if you choose to share it (we are a veteran-owned company and welcome fellow veterans, but disclosure is entirely voluntary)
  • Any other information you choose to include in your application materials

Information we collect automatically

When you visit our Careers page we may collect standard technical data such as IP address, browser type, device type, pages viewed, and the site or job board that referred you.

Information from third parties

  • Job boards and recruiting platforms where you applied or posted a profile
  • References and prior employers you have identified
  • Background check and screening vendors, where permitted by law and only after we obtain your separate written authorization
  • Publicly available professional profiles

Sensitive information. Please do not include Social Security numbers, dates of birth, bank details, medical or disability information, or photographs of identification documents in your initial application. We will request that information separately and securely if and when it becomes necessary — typically after a conditional offer.

How We Use Your Information

We use applicant information to:

  • Evaluate your qualifications and communicate with you about your application
  • Schedule and conduct interviews and skills assessments
  • Verify licenses, certifications, employment history, and references
  • Conduct pre-employment screening where legally permitted and job-related
  • Assess insurability and eligibility to operate company vehicles, where applicable
  • Extend offers and complete onboarding if you are hired
  • Consider you for other current or future openings that may fit your background
  • Maintain records required by federal and Massachusetts employment law
  • Defend against or respond to legal claims

We do not sell applicant information, and we do not use it for advertising or marketing purposes.

Who We Share It With

We share applicant information only as needed, with:

  • Our hiring team — owners, managers, and supervisors involved in the specific hiring decision
  • Our professional employer organization (PEO), which supports our HR, payroll, and benefits administration
  • Background check, motor vehicle record, and drug screening vendors, only with your prior written authorization
  • Applicant tracking, email, and file storage providers that host our systems under contract
  • Government agencies, regulators, or courts, where required by law or legal process
  • Professional advisors such as legal counsel or insurance carriers, when necessary

We require our service providers to protect applicant information and to use it only for the purposes we specify.

Background Checks and Screening

For most positions we conduct pre-employment screening that may include criminal history, driving record, employment verification, license verification, and drug testing. Screening is conducted only:

  • After we give you a separate written disclosure and obtain your written authorization
  • In compliance with the federal Fair Credit Reporting Act and Massachusetts law, including the Massachusetts CORI statute and Massachusetts restrictions on criminal history inquiries
  • In a manner that is job-related and consistent with business necessity

If information from a screening report may lead us to decline your application, we will notify you and give you a copy of the report and an opportunity to respond before we make a final decision.

How Long We Keep It

If you are not hired, we generally retain your application materials for [two] years from the date of your application, so that we can consider you for future openings and satisfy recordkeeping obligations under federal and state law. We may retain records longer where necessary to respond to a legal claim or comply with a legal hold.

If you are hired, your application materials become part of your personnel file and are retained under our employee records retention policy.

Your Choices and Rights

You may:

  • Ask what information we hold about your application
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your application materials, subject to our legal recordkeeping obligations
  • Withdraw your application at any time
  • Ask us to stop contacting you about future openings

Massachusetts employees and applicants have specific rights to inspect personnel records under M.G.L. c. 149, § 52C. To make a request, contact us using the information below. We may need to verify your identity before responding.

Security

We use administrative, technical, and physical safeguards to protect applicant information, including access controls that limit application materials to people involved in hiring. No system is perfectly secure, but we take these protections seriously and review them regularly.

A Note About Job Scams

3R Plumbing & Mechanical will never ask an applicant to pay a fee, purchase equipment, buy gift cards, or send money as part of our hiring process. We will never request your Social Security number, bank account details, or a photo of your driver’s license in an initial email or text message. All legitimate communication from us comes from an @3rplumbingandmechanical.com email address or from a phone number we confirm with you directly. If you receive a suspicious message claiming to be from 3R, please contact us at the number below before responding.

Recruiters and Unsolicited Submissions

We do not accept unsolicited resumes from staffing agencies or third-party recruiters. Candidate information submitted without a signed agreement and a specific written request from 3R becomes information we may use without obligation or fee.
